TERMS AND CONDITIONS
Bookings and subsequent contracts shall be deemed to have been concluded in Arusha, Tanzania, and shall be interpreted according to the laws of the United Republic of Tanzania.
The Company reserves the right to decline any booking without being required to provide reasons.
A 30% deposit is required to secure a booking. This deposit forms part of the payment for the trip and shall be offset against the total amount charged to the client/agent.
If the full amount is not paid at least four (4) weeks prior to departure, the Company reserves the right to treat the booking as cancelled and apply the applicable cancellation fee stated below.
Clients/Agents booking within four (4) weeks of tour departure are required to pay the full amount immediately to secure the reservation.
All bank charges are to be settled by the client or agent. This includes transaction fees charged by our bank.
The amount shown on the invoice is the amount that must be received in full in our account. Should bank charges be deducted from the payment, the outstanding amount shall be invoiced subsequently.
For amendments to existing bookings made by the client/agent, including changes to departure dates, air tickets, accommodation, number of participants, or other confirmed services, a handling fee of USD 50 per booking applies.
The handling fee will be charged in addition to any fees imposed by airlines, hotels, transport providers, national parks, or other service providers.
Cancellations must be submitted in writing to the office that confirmed the reservation. A cancellation shall only become effective from the date the written cancellation is received by the booking office.
If a booking is cancelled by the client, the following cancellation fees shall apply:
The total cancellation fee charged by the Company shall not exceed 4% of the total booking value.
Where applicable, the Company may deduct any non-refundable charges already paid to third-party service providers, including airlines, accommodation providers, national parks, permits, or other suppliers, where such charges cannot be recovered.
Any refundable balance shall be returned to the client after deduction of applicable cancellation fees and non-refundable third-party charges.
If a booking is cancelled because the client fails to make the required payment within the agreed payment period, the Company reserves the right to apply the applicable cancellation fee stated above.
The Company reserves the right to cancel or modify a tour where circumstances beyond its reasonable control make the operation of the tour impossible, unsafe, or impractical.
In the event that the Company cancels a tour for reasons within its control, the Company shall refund monies paid by the client for the cancelled services.
Where cancellation results from force majeure or circumstances beyond the Company’s reasonable control, the Company shall make reasonable efforts to provide an alternative arrangement or refund any recoverable amount after applicable third-party charges.
It is the client’s sole responsibility to ensure that passports, visas, health certificates, proof of vaccinations, travel insurance, and any other documentation required for the countries to be visited are valid and in order.
The Company cannot be held liable for any consequences, damages, losses, or claims arising from the client’s failure to obtain or maintain the required documentation.
At all times, baggage and personal effects remain the client’s responsibility. The Company does not accept liability for loss, theft, or damage to personal effects, except where such liability cannot legally be excluded.
Clients are entitled to one bag of not more than 15 kg (backpack or soft bag; no hard-shell suitcase) and one daypack.
The Company reserves the right to refuse excess baggage. Please note that some tours, bush flights, and domestic flights may have different baggage restrictions.
The client acknowledges that tours and expeditions are of an adventurous nature and involve an element of personal risk.
The client accepts responsibility for complying with all safety instructions provided by the Company’s guides, drivers, and representatives.
Where permitted by applicable law, the Company and its agents shall not be liable for injury, loss of life, loss, or damage resulting from risks inherent in adventurous travel or circumstances beyond the Company’s reasonable control.
Clients are strongly advised to obtain comprehensive travel and medical insurance covering cancellation, medical expenses, evacuation, personal belongings, and other risks associated with their trip.
The decisions of the Company’s guide or driver concerning safety and the operation of the tour shall be final and binding where reasonably necessary for the safety and wellbeing of clients.
The client must at all times comply with the laws, customs, regulations, and foreign exchange requirements of all countries visited.
The Company may use photographs and videos taken during tours for marketing and advertising purposes, provided that such use complies with applicable privacy and data-protection laws.
Where a client does not wish to appear in promotional photographs or videos, the client may notify the Company in writing.
Unforeseen circumstances, including but not limited to war, civil unrest, strikes, mechanical breakdowns, severe weather, natural disasters, government restrictions, pandemics, or other circumstances beyond the reasonable control of the Company, may cause delays, alterations, or cancellation of a tour.
The Company shall not be held responsible for losses or additional expenses resulting directly from such circumstances, to the extent permitted by applicable law.
The Company shall make reasonable efforts to assist clients and, where possible, provide alternative arrangements.
Our prices are based on the applicable national park fees, government charges, taxes, permits, transportation costs, accommodation rates, and other operating costs at the time of quotation.
Should government authorities, national parks, airlines, accommodation providers, or other service providers increase their fees or taxes after a quotation or booking has been made, the Company reserves the right to pass on such mandatory increases to the client.
Any applicable price increase shall be communicated to the client as soon as reasonably possible.
These Terms and Conditions form part of the agreement between the Company and the client/agent.
Any questions, clarifications, or special arrangements should be discussed with the Company before confirmation of the booking.
